Inspire HR — Privacy Policy

At Inspire HUB, we believe that privacy is both important and essential. This Privacy Policy is provided to inform users of our application(s) and the related services we offer about our policies and procedures regarding the collection, use, and disclosure of information.

This Policy forms part of our Terms of Service and applies to all information collected in connection with the download, installation, and use of our applications. By using our applications, you indicate your acceptance of this Privacy Policy. If you do not agree with this Policy or with our Terms of Service, please do not download, install, or use the Application.

Inspire HR is a workforce management application provided to employees by their employer. Your employer decides which features are enabled for your organisation, and different organisations may have different features active. Where information is transmitted to your employer's Inspire HR system, your employer is the controller of that information and Inspire HUB processes it on their behalf.

 What Information Does the Application Collect?

 1. Location Data

Inspire HR accesses precise and approximate device location, including in the background when the app is closed or not in use.

What we access.
With your permission, the app accesses your device location while you are using the app, and — where you have granted "Allow all the time" permission — while the app is running in the background or is closed.

What may be collected.

Depending on the features your employer has enabled, location information may include:

- Latitude and longitude- Location accuracy- Speed of movement- Device battery level- The date and time of the reading

Why we use it. Location is used only for workforce management purposes, which may include:

- Providing attendance reminders based on your designated work location.- Verifying that check-in and check-out events are recorded from an authorised work location.- Where enabled by your employer, recording location during working hours as part of your employer's attendance and workforce records.

How it is processed.
Depending on the features enabled for your organisation, location data may be processed only on your device, or it may be transmitted to and stored in your employer's Inspire HR system. Where transmission applies and your device has no internet connection, readings may be stored temporarily on your device and uploaded once connectivity is restored.

Integrity checks.
 The app may detect whether a mock or simulated GPS location is being supplied by the device, in order to protect the accuracy of attendance records.

Your control. 
Location-based features require your permission. You can revoke location permission at any time in your device settings, under Settings → Apps → Inspire HR → Permissions → Location.
Revoking background location permission disables location-based reminders; the rest of the app remains usable.

 2. Account and Employment Information

When you sign in, we collect your company identifier, your email address, and an authentication token issued to your device. This information identifies you to your employer's Inspire HR system and keeps your session secure.

3. Device Information and Access Logs

When you use our Services, we may obtain and maintain certain electronic identification or log data automatically provided by your device, such as: device type, OS type, ISP, language settings, device identifier, device model, and your country.

This information is necessary as part of our ongoing efforts to detect and deter unauthorised or fraudulent use of, or abuse of, our Services, as well as to provide you with customised options.

4. Camera and Photos

The app requests camera and file access only when you choose to attach a receipt or document, for example to an expense claim. Images you select or capture are uploaded to your employer's Inspire HR system as part of that record. The app does not access your camera or photo library at any other time.
5. Biometric and Screen Lock Data

You may optionally protect access to the app with your device fingerprint or a PIN code. Biometric verification is performed entirely by the Android operating system on your device. Inspire HUB never receives, stores, or transmits your fingerprint or biometric data.

6. Notifications

With your permission, the app sends push notifications for reminders and workplace updates. We process a device notification token in order to deliver these messages.

How We Use Your Information

We may use your information for the following purposes:

- To provide our services to you, including attendance recording and attendance reminders.- To verify that attendance events are recorded from an authorised work location.- To offer customer support, keep our services secure, detect fraud, and maintain backups.- To understand how you use our services so we can improve them and adapt them to your needs, such as language or location preferences, and to provide personalised help or instructions.- To create new services and improve the ones we already have.- To verify our software and manage software updates.

We do not sell your personal information. We do not share your location data with advertising networks, data brokers, or any third party for advertising or marketing purposes.

How We Share Your Information

-With your employer.
Where a feature transmits information to the Inspire HR system, that information — including attendance records and any associated location data — is made available to your employer. Your employer's own policies govern how they use it.-With service providers.We use infrastructure and messaging providers strictly to operate the service on our behalf and under contract.
-Where required by law.
 We may disclose information where required to do so by applicable law, regulation, or valid legal process.

Data Retention and Deletion

Information transmitted to the Inspire HR system is retained by your employer for as long as required by their record-keeping and payroll obligations.

What if I want to delete my app usage data?
Simply uninstall the app. You can reinstall it without appending the new data usage, and the old data will be deleted automatically from our system.

Information held only on your device, including any locally cached readings that have not been uploaded, is deleted when the app is uninstalled. To request deletion of records already held by your employer, contact your employer's HR department, or contact us using the details below.

Security

We apply technical and organisational measures to protect your information. Data is transmitted to Inspire HR servers over encrypted connections, access is restricted by an authentication token issued to your device, and locally stored data is protected by Android application sandboxing.

Children

Inspire HR is an employment application and is not directed to, or intended for use by, children under the age of 16. We do not knowingly collect personal information from children.

Your Rights

Depending on your jurisdiction, you may have the right to access, correct, export, or request deletion of your personal information, and to withdraw consent to optional processing such as background location. You can withdraw location consent at any time through your device settings. For other requests, contact your employer's HR department or contact us below.

Changes to This Privacy Policy

We may update or change this Policy at any time, with or without notice. If you continue to use our services after the Policy has been updated, it means you accept the new version. The same applies to any changes we make to our Terms or our services — by continuing to use them, you agree to follow the updated Terms.
